Every time we need to get something done we quest for a place that enables us to work for long stretches of uninterrupted time, right? But why can’t our every day office space do that for us?

Well, most disturbing factors that interfere with your engagement are almost always people related. Whether there are colleagues asking for different information or managers asking for a meeting, you still have to stop what you were doing in order to offer your help or presence. And that’s the right thing to do – collaboration is the ace in the hole for every organization. But how often are these interruptions really necessary? Or more accurately…is there any alternative to it that doesn’t slow or even stop your work?

We most certainly believe there is. And we like to think we built one.

While helping a colleague with an information is mostly about knowledge sharing (and that can be easily managed via an internal Q&A), meetings are usually held for a more active communication.

But the biggest drawback with meetings is that they are time consuming and tend to extend more than necessary. You may plan for a one hour meeting but in reality this time often as much as doubles – questions are raised, debates are launched, focus is lost. Add to that the preparation time and potentially commute time for in-person meetings, and you may find that each participant actually spent half a day on that meeting. Multiply by the number of participants, and we’re talking days of work. Last, if you add into the equation the frequency of these meetings, you might change your perspective on their necessity!

Don’t get us wrong: face to face meetings play an important role within each company. We just want to suggest a new standpoint: what if your organization cut in half internal meetings?

How do you do that without feeling like there’s a backslide to it? By simply reducing the need for people to actually get together in meetings. Provide them with a tool that allows and facilitates information exchange, so that when you’re getting together to simply go through the agenda without needing to stop at every point. Prepare the details in advance and add all the information there, updating it every time is needed.

With Quandora for example you could create a dedicated Knowledge Base for the project you’re working on or for that specific team and conceive a practical documentation organized in questions and answers. This way everybody gets to be up-to-date with the complete picture (even if they’re new assigned to the project) and when you meet you can just do it for a fast feedback or draw some conclusions.

Take a look at the advantages of the Q&A format and enjoy the benefits of a social enterprise product. Progress asks for readjustments, don’t be afraid to make that step.

Happy Knowledge Sharing!
